Organising the relevant insurance policies for the Property

Organising the relevant DOI insurance policies
Keep all maintenance and repair estimates, work orders, and invoice/payment receipts for review
Thorough accounting of all property service charge payments collected, including receipts
Annual reporting of all financial statements
The preparation of year end accounts
Acting on behalf of the company secretary if necessary for the resident’s management company (e.g. sending out owner communication)
Collection of service charge and arrears management/collection – credit control
Preparation of budgets, financial forecasts, and year-end accounts to meet ARMA & RICS Codes of Conduct+ Compliance with the relevant Landlord and Tenant Acts
Arrangement of reinstatement cost assessment
Monthly income/expense reports – to be included within monthly Property Management Report
Documentation of any payments made on the owner’s/freeholders behalf
Collection of rents - commercial
Collection of ground rents
Administration of insurance premiums and communal claims
Compliance
Compliance with the relevant Landlord and Tenant Acts

Comply with the RICS Service charge residential management code
General health & safety compliance and management.
Fire safety compliance and management
Compliance with relevant company and property law as required
Enforcing the lease terms and dealing with breaches of lease (excluding third party fees)
Organise five yearly safety testing of landlord electrical equipment/installations - statutory requirement
Organise fire risk assessment relating to common areas
Health and Safety risk assessment relating to common areas (usually every 2 - 3 years)
Provision of a Health & Safety management programme
Health & Safety and other statutory based audits and inspections e.g. in connection with the Disability Discrimination Act
Provision of environmental performance surveys and audits including Energy Performance Certificates, Display Energy Certificates and audits (organise, third party fees not included)
Section 20 process for all major works that qualify - organise, run the consultation and organise quotes
General Property Maintenance

Keep thorough records
Repairing and maintaining the building’s structure, walls and roofs
Maintaining facilities onsite such as vehicle gates, lifts, smoke and fire alarms
Provide support for any RTM or RMC with the on-site management team
Handling solicitors’ enquiries on the sale of individual properties
Organise and attend Director/Board meetings
Organise and attend all AGMs & EGMs
Provide a leaseholder portal – raising maintenance issues and account information
Scheduling and assessing cleaners, gardeners, and window cleaners
Management of contractors
Engaging and management of maintenance contracts and repairs
Handling resident complaints, for example regarding a communal issue or neighbour
Provide a regular surgery appointment for all leaseholders to raise issues
Arrange for the apportionment and re-charge of directly metered utilities supplies subject to the receipt of accurate data on which to raise the charge.
Provide monthly property manager reports to board/freeholder
Create and maintain a 12-month PPM maintenance plan
Create and maintain a 5, 10 or more year CapEx plan which drives planned-for capital projects
Direct management of the on-site management team
Provide a monthly newsletter for all leaseholders
Dealing with and managing right to alter applications (third party fees excluded)
Organise and attend all other meetings outside of those included in other packages
General Property Maintenance
Out-of-hours support – to provide 24 hours support for all leaseholders
